Protocol for Zoom Proctoring of Online Exams

Protocol for Proctor/Course Director:

1. Schedule a date/time for students to take the exam

2. Set-up a Zoom meeting for that date/time using your Zoom account

3. Send meeting information to all students/proctors

IMPORTANT: SOD IT or EDTECH CANNOT schedule exam date/times, be a proctor for you OR find proctors for you, all of that needs to be organized by course directors/faculty in charge of the exam. 

Give students these instructions the day before and immediately before they start the exam:

  • Set up your secondary device (cell phone or tablet with Zoom video link open) so I can see you adequately while you write the exam. I might ask you to move it if I am not satisfied with my view of you and your surroundings.
  • You must leave both your video and outgoing sound on so I can always can see and hear you, but turn your incoming sound down low so others do not distract you;
  • I may not be visible or audible all the time to you but I WILL be watching  and listening to you. I will also be recording the session. Warn your housemates and avoid embarrassment!
  • You cannot take a bathroom or any other break.
      • FYI to instructors, don’t tell the students this:  They could be looking up answers, talking to other students, etc. on a break.
  • I cannot answer any questions related to the exam questions. Please answer each question as it is written.
  • You may not use the chat or any other interactive feature on Zoom;
  • You may not use any electronic device(s) for ANY other reasons i.e. text message, phone, photos, internet, etc., or communicate with anyone, use any other resources aside from those inside your own head to answer the exam questions;
  • You must show me the Green Screen to prove the exam has been submitted before you can leave the Zoom meeting.
  • If you have an emergency that makes it necessary for you to stop taking the exam, put safety first! Do this:
    • Try to tell me that you must leave - only if you safely can;
    • Submit your incomplete exam before you leave Zoom - only if you safely can;
    • Let me know what happened immediately - as soon as you safely can.
    • If this happens, we will arrange a different exam on another day. It will have the same questions and different cases.

Then the instructor should tell the students what time it is now, what time the exam will end, and tell them to start the exam.

When the ending time comes, if anyone has not finished, tell them they must stop immediately. 

The exam will automatically close when time runs out.
